Event Staff Guidelines

  • All events will require a minimum staffing level of one Event Supervisor for the duration of the event. An Event Assistant will be scheduled at any non-traditional entrance or any entrance used outside the normal hours of operation. An additional Event Supervisor will be scheduled for every 350 participants and spectators, depending on the scope of the event.
Sports Officials must be scheduled separately from the event through State Officials Association (SOA). Contact University Recreation, Competitive Sports for more information and scheduling requests. Dan Payne, dcpayne2@ncsu.edu or Ben Strunk bdstrunk@ncsu.edu.
Staffing fees will be charged for the amount of time required to set-up and break down the event according to the client’s specifications. University Recreation will determine how many event staff needs to be scheduled for the setup and breakdown.
As part of our commitment to health and safety, the University Recreation staff will assess all events for the potential of risk. If an event poses a potential health or safety risk University Recreation, with assistance from either NC State University Police, Environmental Health and Safety, or Fire Protection, will determine a staffing and safety plan appropriate for the event.
Fees may be assessed to clients if the event causes damage to the University Recreation facilities. An excessive cleaning fee may be assessed to clients if the University Recreation facilities need extensive cleaning during or at the conclusion of an event.

Equipment Guidelines

  • A limited amount of the above equipment is available. If additional set-up equipment is needed, it must be approved by University Recreation.
  • The client is responsible for all equipment that is rented to their event.
  • The cost of repair or replacement of any lost or damaged equipment will be assessed post-event and charged to the final invoice.
  • Access to portable restrooms will be automatically assessed to all reservations at Centennial Campus Fields. The rental of additional restrooms will be assessed at cost to the client.
