University Recreation Media Guidelines

University Recreation supports the media in publicizing recreation programs, services and facilities and also recognizes the need of students who require filming and photography of recreational sports in support of their academic coursework.

University Recreation permits filming and photography in its facilities when it is consistent with the protection and security of students, University Recreation members, employees, facilities and equipment, and avoids conflict with normal use.

The stated guidelines address photography and filming for non-commercial use by individuals who are University Recreation members and the media.

These guidelines apply to photography and filming in all University Recreation facilities, which include:

    • Carmichael Complex (Carmichael Aquatic Center, Carmichael Gym and Carmichael Recreation Center)
    • Miller Fields
    • Outdoor Courts
    • Jim Wall Challenge Course
    • Method Road Complex
    • Centennial Fields.

Guidelines:

Photographs and film may not be published, sold, reproduced, transferred, distributed or otherwise commercially exploited in any manner whatsoever.

Photography and filming is not permitted in University Recreation locker rooms or restroom facilities.

All photography and filming must be conducted during operating hours and without disrupting University Recreation operations which limits access to equipment, stairwells, entrances/exits, high traffic areas.

Prior permission by all photographic subjects must be secured by a signed photo release.

University Recreation reserves the right, at its sole discretion, to withhold and/or withdraw permission to photograph on its premises or to reproduce photographs of its facilities, members and staff.


Procedures for photography and filming for academic use

Still photography and filming is permitted for private, non-commercial use only. This includes photography for private use or for a class assignment.

Please complete Photo/Video Release Form. Form must be submitted at least 24 hours before the anticipated time for photographing/filming. You will be contacted to confirm your request.

Please note: Business hours are Monday through Friday, 8 a.m. - 7 p.m. Weekend/holiday requests will not be addressed until the next business day.

Please check-in at the Member Services Suite, Carmichael Gym, Room 1000 upon arrival.

Advise University Recreation staff that you have submitted a request to take photographs of the facility for your own personal or academic use. The facility staff will have a copy of the Photo/Video Release Form to verify the approval.

When entering the various facility spaces, please check-in with the staff on duty at these spaces.

Upon completion of the photo/film shoot, please check out with the University Recreation staff at the Member Services Suite.

Photographers must seek permission from participants before proceeding with filming.

Filming involving Group Fitness or Aquatics programming, require a 48 hour notice. Photographers must arrive 10 minutes prior to the start of the class to inform the Group Exercise instructors or Lifeguards of exact details of the shoot. Any participant who objects to being filmed must have the ability to move to an area that will not be filmed. 

 

Procedures for media photography and filming

Members of the media may photograph or film within designated areas of University Recreation facilities for the purposes of news coverage or publicity that includes University Recreation.

A Photo/Video Release Form will be completed. A copy will be given to the staff at the Member Services Suite, Carmichael Gym, Room 1000.

Please check-in at the Member Services Suite of the University Recreation facility.

Procedures for Commercial photography and filming

Commercial photography requests must be directed to the Marketing and Communications Specialist for their coordination with and approval by the NC State University Office of Public Affairs. NC State University Guidelines can be found here.
